Sourcing Bedding in China: Supplier Checks to Approved Order

Source bedding from China by comparing the same finished specification, not supplier photographs or an isolated thread-count claim. Define the range, establish who is responsible for production, approve a representative sample and agree the commercial and inspection terms before placing a bulk order. Keep the approved version attached to the purchase order so that a reorder can be checked against the same reference.

Start with the assortment, not a factory shortlist

Decide who will use the bedding, where it will be sold and how it will be washed. A retail duvet-cover set and hotel sheets need different component lists, packaging and acceptance criteria. List the required pieces and dimensions for each sellable SKU; a name such as queen is not a finished measurement. Select a small number of relevant catalogue references, then mark what must stay unchanged and what you want customized. This separates a comparable starting product from an entirely new development request.

Verify the supplier and the production responsibilities

Ask for the legal trading name, invoicing entity, production address and the party responsible for fabric procurement, sewing, packing and final release. A workshop video can support a discussion, but does not by itself establish ownership, capacity or the production route for your order. Record outsourced stages and the person who resolves a specification change. Match bank-beneficiary details to the approved contracting arrangement using an independently verified contact; investigate unexpected payment-detail changes before paying.

Send one specification to every shortlisted supplier

Specify fiber percentages, yarn information where relevant, weave, density with units, fabric weight and finish. For filled products, separate shell specifications from filling composition and fill weight. Request actual finished dimensions, closure details, seam construction and care instructions. Do not equate a higher thread count with a guaranteed wash life. Ask each bidder to identify substitutions rather than silently price a different fabric. A lower quotation is useful only when its scope and exclusions are visible beside the others.

Choose the development route and calculate each variant

For an existing design, state the label, packaging and size changes; for an original design, provide artwork, ownership permissions and measurable construction requirements. Confirm feasibility and development charges in the quotation rather than assuming every customization is included. Use the intended laundering process to evaluate the proposed care instructions and dimensional change; agree the method and acceptance limits before relying on a result. Record unresolved differences with photographs and written decisions. Keep an approved reference with both parties. Approval of one construction does not automatically approve another color, finish or filling.

Make price, inspection and delivery comparable

Request the currency, unit of sale, packaging included, quotation validity and named place under the agreed Incoterms version. Separate sample approval, material readiness, production, inspection, dispatch and transit in the schedule. Ask for dates against your actual brief rather than adopting a generic lead-time range. Agree how defects are classified, which checks are required, when shipment is released and how discrepancies will be handled. Confirm the documents required by the destination and buyer; a certification logo alone is not evidence for the quoted SKU.

Close the order with a controlled handover

Send the selected product references and completed fields below through the quotation form. Ask the supplier to return an exceptions list alongside the price so that missing decisions remain visible. Before issuing the purchase order, reconcile the quotation, approved sample, artwork, variant quantities and packing list.
