TL:DR
Build the hotel bedding RFQ from room and bed facts, then give every finished article its own specification and quantity line. Include dimensions, fibre and weave, colour, make-up, care context, packaging, sample, delivery and acceptance fields; require suppliers to repeat the requested version and list exceptions. At BeddingTextilePro, each colour-and-size combination starts at 100 sets and cannot be pooled.

A field-level hotel bedding RFQ that procurement and operations teams can complete, issue and compare line by line.
A hotel bedding RFQ is ready to issue when every bidder can price the same room, bed and finished article. Start with room type and the physical bed system, then give flat sheets, fitted sheets, duvet covers and pillowcases separate lines. Add finished dimensions, fibre and weave, make-up, colour, packaging, quantity, sample, delivery and acceptance questions. Require suppliers to repeat each line and name every exception. That creates a specification sheet procurement can compare and operations can review.
Translate the room list into article lines
Do not begin with ‘hotel quality’ or a total room count. Record room type, beds per room, mattress width, length and assembled height, duvet insert and pillow references, then list the articles used on that bed. Show pieces per bed and total units requested. This page does not calculate par stock, receiving controls or internal issue/return; those are separate operating tasks. Its job is to turn the selected requirement into a supplier-facing product and quotation file.
| RFQ level | Hotel team provides | Supplier must return | Control gained |
|---|---|---|---|
| Room and bed | Room code, bed count, mattress/insert/pillow references | Article lines linked to the stated bed | Prevents a room label hiding several sizes |
| Finished article | Flat/fitted sheet, duvet cover, pillowcase or protector as separate lines | Quoted item, revision and exception | Makes the offer countable and comparable |
| Construction | Fibre, weave, structure, colour and make-up fields | Exact proposal, evidence available and alternatives | Keeps a marketing grade from replacing the product |
| Commercial line | Quantity, pack, destination and requested basis | Unit price basis, pack scope and exclusion | Shows what is and is not included |
| Release line | Sample purpose, acceptance question and owner | Sample version and response route | Connects approval to the active RFQ |

Give every finished article a measurable specification
Write finished length and width for every article, using one unit throughout the sheet. For a fitted sheet, include the assembled mattress height and ask the pocket and elastic question. For a duvet cover, identify the insert reference and closure. For a pillowcase, specify the intended pillow, style and opening. A public procurement schedule can show why quantity, measurement and description belong together, but its values do not become your hotel standard. Measure or confirm the actual room system and require the proposed sample to answer that file.
| Article line | Buyer fields | Sample / supplier response |
|---|---|---|
| Flat sheet | Finished L × W; hem/cuff; construction; colour | Repeat dimensions and make-up; name any alternative |
| Fitted sheet | Mattress L × W × assembled H; finished size; pocket; elastic | State proposed pocket/elastic and review on intended bed |
| Duvet cover | Finished L × W; insert reference; closure; ties/flap if requested | Repeat make-up and show the sampled version |
| Pillowcase / sham | Pillow reference; finished L × W; style; cuff/opening | Return exact component and exception |
| Protector or other item | Function requested; dimensions; construction question | Separate proposal and evidence scope from sheets/covers |
Connect fabric and make-up to the operating question
Name the fibre composition, weave or construction, relevant density or weight field, finish, colour reference, hems, seams, closure and elastic. Then describe the intended care route as context and ask what can be documented or sampled against it. ISO 3758 defines care-labelling symbols and the most severe treatments that do not cause irreversible damage; it is not a hotel wash-life guarantee. Do not add an unsupported laundering count, shrinkage result, colourfastness grade or certification requirement. If evidence is required, identify the article, method, specimen and acceptance question instead of asking for a generic certificate.

Separate quantity, delivery and acceptance
Quantity belongs on the exact article and colour × size line, not only in a room total. At BeddingTextilePro, each colour-and-size combination has a minimum of 100 sets and quantities cannot be pooled across colours or sizes. Delivery should state the requested basis and named place, destination, timing question and packaging handover. Acceptance should state what the buyer will measure or review, who decides and which revision is being considered. Do not mix stock par calculations or goods-receiving counts into the supplier specification; link those later to the approved item identity.

Issue the RFQ through the hotel-linen route
Use the hotel linen page as the commercial entry, then send the completed room/bed matrix, article schedule, construction questions, colour × size quantities, packaging status, delivery request and acceptance sheet. The useful next response is not a generic hotel-linen promise: it is a line-by-line proposal against the same active specification, with alternatives and missing information clearly identified.
Frequently asked questions
- What is a hotel bedding RFQ specification sheet?
- It is a buyer-controlled file that maps room and bed facts to individual finished bedding articles, dimensions, construction, quantities, packaging, samples, delivery questions and acceptance decisions before suppliers quote.
- What fields should each hotel bedding article line include?
- Include the room/bed reference, article name, pieces per bed, finished dimensions, fibre and weave or construction, make-up, colour, quantity by colour × size, pack, sample purpose and requested commercial basis.
- How should hotel fitted sheets be specified?
- Record mattress length, width and assembled height, then state the requested finished sheet dimensions, pocket and elastic fields. Review the proposed sample on the intended bed system instead of relying on a generic size name.
- How do hotel teams compare linen quotations?
- Issue the same locked RFQ to every bidder, require each supplier to repeat the requested lines, and compare article scope, dimensions, construction, quantity, packaging, delivery basis and named exceptions before price.
- What is the MOQ for hotel bedding colour and size variants?
- The minimum is 100 sets for each colour-and-size combination. Quantities from different colours or sizes cannot be combined to reach the minimum.
