How to Order and Evaluate Bedding Samples Before a Bulk Order

Approve a physical control sample first, and put a 'bulk must match the approved sample' clause in your PI. Here's how to order and evaluate bedding samples the right way.

The single most effective way to prevent off-spec bedding is to approve a physical sample before bulk — and to make that sample contractually binding. In short: request a pre-production (control) sample, check hand-feel, color, construction and labeling, sign it off as the reference, and write a "bulk must match the approved sample" clause into your proforma invoice. Here's the full process.

Why the sample stage matters most

A photo can't tell you how a fabric feels, how true the color is, or how clean the stitching is. A physical sample can — and once you've approved one, it becomes the objective standard your bulk run is measured against. Skipping it is the most common reason first orders disappoint.

What to check on a bedding sample

  • Hand-feel and weight: does the fabric match the promised count/GSM and feel right for your market?
  • Color accuracy: compare against your Pantone or a reference swatch, in daylight — note any color difference.
  • Construction: stitch density, straight seams, secure hems, zipper/closure quality, correct sizing.
  • Branding: woven/printed labels, care labels, packaging — exactly as you'll retail it.
  • Fabric origin specs: confirm the yarn count, density and composition match what was quoted.

Avoid the 'golden sample' trap

A dishonest supplier can send a perfect hand-made sample, then cut corners in bulk. Protect yourself: keep one signed, sealed copy of the approved sample (you and the factory each hold one), reference it by photo and date in your PI, and agree that a pre-shipment inspection will check bulk against it. A genuine source factory welcomes this.

Sample cost and lead time

Sampling typically takes about 1–2 weeks (longer for fully bespoke designs). Sample fees are usually modest and are often credited against a bulk order. Order samples of your two or three most likely styles rather than spreading across many — it keeps cost down and decisions focused.

Lock the spec, then run bulk

Once you sign off, the approved sample plus a written spec (fabric, count/GSM, size, color, labels, packaging) becomes the production standard. Bulk weaving only starts after sign-off, and a three-stage QC checks the run against it before loading. Get this right once and reorders simply repeat the locked spec.
